This notice covers runempireos.com and the pilot request form on it. It is written to be read, not filed. The pilot desktop app has its own notices inside the app.

Who we are

Synthera Systems makes Empire OS and is the controller of the details you send through this website. Write to hello@runempireos.com or message https://wa.me/9607509658. Every question about your data is answered from that address.

What the pilot request form collects and why

When you request a pilot install we ask for your name, the name of the business, the kind of business, the island or city, and an email address, because we cannot answer a request or judge whether the business fits the pilot without them. You may add a phone or WhatsApp number, a rough monthly sales band and a message; all three are optional and the band is never used to quote you a price. We also record the time of the request, the page it came from, a shortened one-way hash of your connection address (kept only to stop floods of automated submissions) and your browser's description of itself. We record the exact consent sentence you ticked and its version, so we can show later what you agreed to.

Where a request goes

A request is written to a file on our web server, outside the public folder, before any email is sent. Then it is emailed to hello@runempireos.com and to a second Synthera Systems mailbox so that one lost email does not lose your request. The server copy is the record; the emails are notifications.

The legal basis

You give consent by ticking the box on the form; the box is never pre-ticked and the form does not send without it. You can withdraw that consent at any time with one email, and we then delete the request. Once you have asked us something, we also rely on our legitimate interest in answering you.

Who receives it

People at Synthera Systems who read hello@runempireos.com and the second mailbox. Bluehost, which hosts this website, stores the server file and relays the email as our processor and does not use it for anything of its own. Nobody else: no advertiser, no data broker, no analytics vendor, because this site has none.

How long we keep it

Twelve months from the day it arrives, then it is deleted from the server file and from both mailboxes. If you ask sooner, sooner. If a pilot goes ahead, the working relationship has its own records and its own notice in the app.

Your rights and how to use them

You can ask what we hold about you, ask us to correct it, ask us to delete it, ask us to stop using it, or ask for a copy in a plain format. One email to hello@runempireos.com does any of these; we answer within 30 days and we do not ask you to prove anything beyond that the request came from the address you gave us. There is no form to fill in and no account to log into.

What this website stores in your browser

No cookies. One item of local storage, the key empireos-theme, remembers the interface theme you picked so the page does not flash the wrong colours next time. It identifies nobody and is never sent to a server. The cookies and storage page explains it, and the "Privacy choices" button in the footer clears it.

The pilot app

The Empire OS desktop app keeps the business's own records on the business's own computer, with an encrypted copy in the cloud for restore. What it stores, where the copy lives and every optional use of the data are explained inside the app, sentence by sentence, at the point where you decide. Nothing in the app is unlocked by agreeing to share data.

The law in the Maldives

The Maldives has no data protection act in force today. Data Protection Bill 20/2026 is before the People's Majlis and has not been passed. This notice follows the shape of that Bill voluntarily: one purpose per consent, no bundled consent, and an unconditional right to withdraw. When the law is in force we will bring this notice into line with its text and say so here.

Visitors in the EU and the UK

This site is reachable from the European Union and the United Kingdom. If you are there, the GDPR and the UK GDPR give you the rights listed above and, in addition, the right to complain to your data protection authority. We have no representative in either place; write to hello@runempireos.com and we will deal with it directly.

Changes to this notice

The date and version at the top change when the text changes. A change that affects what we collect or why is made before the change, not after, and this page keeps a line saying what changed.
